Part-Time Receptionist/Case Manager

Community based non-profit organization is seeking a passionate, creative, motivated, flexible person for the part-time role of Receptionist/Case Manager. The Receptionist/Case Manage will work with and provide office support, data entry and case management duties for our Mental Health, Domestic Violence, Human Trafficking, Healthy Relationship, and Housing programs.

Responsibilities:

  • Providing front desk coverage (answering phones, monitoring answering service portal, checking in clients, etc.)

  • Verify demographic data, insurance eligibility and update practice management system

  • Data entry into agency database and server

  • Make confirmation calls for upcoming therapy appointments

  • Scanning, uploading, copying and collating agency documents

  • Notify the Chief Operating Officer of any building maintenance issues and tracking progress of resolutions

  • Filing of client-related documents, copying records, maintaining agency files, including cataloging and storage of closed case files

  • Perform opening/closing procedures, cleaning and organizing waiting area as needed throughout the day

  • Monitor and submit supply order requests to the Administrative Assistant

  • Assist during emergency situations

  • Other duties as assigned

Requirements:

  • Must have cultural awareness and experience working and interacting with diverse populations

  • At least 3 years’ office experience

  • Must be able to work independently and as part of a team

  • Must be highly organized, reliable and dependable         

  • Solid understanding of HIPAA, confidentiality and privacy practices is required

  • Excellent interpersonal, listening and communication skills, both written and verbal

  • Must have excellent computer skills and be proficient in Microsoft Products (Word, Excel, Outlook, Teams).

  • Valid Driver’s License required

  • CPR Certification required

Hours:

This position is part-time at 25 hours per week; Monday-Friday 9am to 2 pm. Occasional flexibility is required to meet coverage needs.

Salary Range: $21-24 per hour

Benefits: Sick leave accrued at a rate of one hour for every 30 hours worked.
